Lifecycle Brighton Privacy and Data Sharing Policy
At Lifecycle Brighton we are committed to keeping your personal information safe. This document explains how and why we collect, use and store any details you share with us. By personal data we mean identifiable information about you or your child, such as name, email, address, telephone number, date of birth, medical conditions, allergies, disability, ethnicity etc.
Information we collect
This is for group working, session planning and timetabling as well as contacting you to let you know about training camps, scheduling, trips and events. We are also required to take details of any medical issues and whether first aid can be administered in the event of an accident in line with Health and Safety regulations. We also ask your permission to photograph or film your child in accordance with our policy about this. (Lifecycle Brighton Photographing and Filming of Young People under 18 years old.)
How we comply with GDPR and the DPA 2018 to be effective from 25th May 2018.
We treat any personal information (which means data from which you can be identified, including your name, address, e-mail address, etc.) that you provide us, or that we obtain from you, in accordance with the provisions of the Data Protection Act. Under this Act, we have a legal duty to protect any information we collect from you. Any amendments to this policy will continue to be in accordance with the provisions of the Data Protection Act 2018 (DPA 2018)
How we use your information
We may sometimes use information that we have about you and your children for the running of our sessions. These generally fall into the following areas.
1. Administration – This applies to past, current and potential future children and their parents / guardians and is necessary when working off site or with your child in another location other than at their school.
We use this information for the safe provision of sessions.
The types of personal information we collect and use can include:
The names and DOB’s of attendees;
Details of an emergency contact (so we can contact them in case of an emergency); Medical information (so we can cater for any special needs); Dietary requirements.
2. Keeping you informed – This applies to current, past and potential future children and their parents / guardians.
We use this information to keep you updated about events at Lifecycle Brighton e.g., to let you know about news, events, and changes to schedules.
The types of information we collect and use include:
Email address. For us to email you updates and newsletters.
(Note: This is optional, and you can opt out of receiving email updates at any time).
Who we share your information with.
Generally, we only use your information within our work with you and your school. There are some occasions when we need to share personal information about you and / or your child with third parties. This would be relevant in our off site or home sessions when working with schools.
Every now and again, we receive requests for information from schools, government departments, the police and other enforcement agencies. If there is a proper legal basis for sharing your personal information, we will provide it to the organisation that is asking for it.
In case of an emergency, we may need to share with the emergency services details of you or your child including details of any medical conditions as provided to us by you.
To contact you when we want to inform you about events that Lifecycle Brighton may be organising, or other local events that we may feel would be of interest to you in the context of our work with the families we work with.
We are obliged to share confidential information WITHOUT authorisation from the person who provided it (or to whom it relates) if it is in the public interest to do so. Such situations may include (amongst others):
● When it is to prevent a crime from being committed or to intervene where one may have been;
● To prevent harm (physically or emotionally) to a child or adult;
● When not sharing the information could be worse than the outcome of sharing it.
● Where there is evidence that the child is suffering, or is at risk of suffering, significant harm;
● Where there is reasonable cause to believe that a child may be suffering, or is at risk of suffering, significant harm;
● To prevent significant harm arising to children or adults, including the prevention, detection and prosecution of serious crime.--
How we share your data
We will never share your data with third parties, unless you have provided your explicit consent for us to do so or we are required to do so by law.
Your rights to your personal data information
At any point while we hold your data you have the right to:
- request to have access to the data
- instruct us to erase your data
- receive a copy of your data
- change or withdraw your consent about receiving any communications from us, and by which media - email, phone and/ or post.
How we collect information about you.
When you send your child/children to our sessions we receive information about you and any children who attend our sessions in a number of different ways.
You may give us the information when you:
● Attend any of our sessions
● When you sign up to any of our waiting lists
● When you let us know about a change in your personal circumstances
● We may receive it from another organisation, for example, should we be
required to work with the local council, schools wellbeing service, local schools or other organisations such as the Youth Offending Team.
Security
At Lifecycle Brighton we are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect. We will only keep your information for the length of time you are working with us or until you say you wish your data to be removed from our system except for financial information which we are obliged by law to keep for seven years. If a breach in security is discovered, we will notify the school/ organisation/ individual to notify them.
How we use Cookies
When we have our website running. Cookies are used by nearly all websites to improve your experience when you visit. A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added. Overall, cookies will help us provide you with a better website, by enabling us to monitor which pages you find useful. A cookie in no way gives us access to your computer or any information about you, other than data about how you use our website. You can choose to accept or decline cookies.
Payment portals
Where Starling Bank payment systems are used, the data you share will be subject to that provider's data privacy policy. When information is passed on to Lifecycle Brighton that information will be subject to our privacy policy as detailed in this document.
